Your finances deserve bank-grade protection

Okidoky was built around security and privacy from day one. On this page we explain, in plain language, how we protect your data — and what that means for you.

  • Follows the privacy law
  • Encrypted connection
  • European servers
  • Passwords well protected
  • Extra login protection
  • Never sold to third parties
  • Encrypted connection

Everything between your device and Okidoky travels over an encrypted connection, so no one can look in along the way.

  • EU-hosted servers

Our servers and backups live in data centers within the European Union, subject to GDPR. No transfer to third countries without an explicit legal basis.

  • Never sold

We never sell, trade or rent your financial data to third parties. You are the customer — not the product.

1. Our promise

Okidoky handles sensitive information: income, expenses, receipts and sometimes bank statements. We treat that data the way we would want our own bank to treat it — with multiple layers of protection, clear procedures and honest communication.

This page describes the technical and organisational measures we take. We keep it up to date so you always know where you stand. Questions or anything unclear? Email us — we are happy to explain.

Our promise in one line

Your financial data is yours. We store it securely, share it only when strictly necessary, and always let you view, export or delete it.

2. Encryption

We encrypt your data at two moments: on its way to our servers, and while it's stored there.

On the way

Everything you share with Okidoky travels over an encrypted connection. No one can look in along the way.

In storage

On our servers your data is stored encrypted on disk — backups too. If a disk ever went missing, there'd be nothing readable on it.

We check our secure connection regularly to make sure everything is set up properly.

3. Passwords & login

Your password is never stored in readable form. We only keep an unreadable version that can't be reversed — even we can't see your password, not even if our database were ever to leak.

  • Minimum 8 characters at registration, with uppercase, lowercase, and digits required.
  • Account creation and password changes go through the same strength validation — there's no "weak-password loophole".
  • Too many failed login attempts in a row are blocked automatically, so no one can guess your password by trying endlessly.
  • Forgot your password? Reset links are short-lived and single-use.

We do not know your password and cannot retrieve it. Okidoky staff will never ask you for your password — not by email, not by phone, never.

4. Extra protection when logging in

On top of your password you can switch on a second check. Without that second step no one can log in — even with your password.

Authenticator app

Use an app like Google Authenticator or Authy that shows a new code every 30 seconds.

Email code

Receive a one-time code at the email address linked to your account.

Backup codes

Print a set of backup codes for emergencies — for example if you lose your phone.

Turn this extra protection on in your profile settings. In a shared ledger, each person can turn on their own extra protection.

5. Hosting & infrastructure

Okidoky runs on servers within the European Union. That means all your data falls under the European privacy law and is not simply sent to countries outside the EU.

  • Location: Servers and backups live in certified data centers in the EU.
  • Network: Server-level protection blocks suspicious and excessive requests.
  • Updates: Security patches for the operating system and dependencies are rolled out promptly.
  • Keeping an eye out: We watch 24/7 whether everything works and whether anything suspicious happens — if there's a problem, we get an alert straight away.

Physical access to the data centers is limited to authorized personnel of the hosting partner. Okidoky staff has no physical access.

6. Receipts, files and images

Receipts you upload are stored on the same secure infrastructure as your transaction data. Only you (and anyone you share the ledger with) can see them.

Receipts read on your own device

For free accounts, the text on your receipt is read entirely on your own device — the photo does not go to our server. With the more accurate Premium scan, the photo is sent once over the internet to the scanning service and is not kept afterwards, unless you save the receipt yourself.

When you delete a receipt, the underlying file is removed from disk immediately, not just the reference.

7. Backups & recovery

We take regular backups so you never lose data — even in case of a server outage or accidentally deleted transactions.

  • Daily automated backups of the full database.
  • Backups are stored encrypted with a separate key.
  • We keep daily, weekly and monthly backups going back up to a year. Older ones are cleared automatically.
  • Restore procedures are tested periodically to guarantee that recovery works.

8. Internal access at Okidoky

Even inside Okidoky, access to your data is minimal and everything is logged. No one here has more access than is strictly needed for their work.

Minimal access

Only a small group of technical staff can reach production databases, and only for maintenance or support.

No lookups without a reason

We never browse your data unsolicited. Support always asks for explicit consent before looking into your account.

Audit log

All sensitive access is logged so we can trace who viewed what, and why, after the fact.

Strong authentication

Our own people also log in with extra protection before they can reach the systems.

9. Processors & third parties

For certain tasks we rely on specialised partners. We share only what is strictly necessary and sign a data processing agreement with each of them.

Mollie B.V.

Secure payment processing for subscriptions. Receives only payment data, never your transactions or receipts.

NL/EU
Email provider

Transactional emails (welcome, password reset, notifications). Receives only your email address and the content of those messages.

EU
Hosting partner

Physical infrastructure, storage and network. Does not manage application data and has no access to your account.

EU

These are the main partners. The full list — including visitor statistics (only with your consent), ads for the free version and services that deliver fonts and icons — is on our sub-processors page. We announce new partners at least 30 days in advance. Complete sub-processors list →

10. What we do if there is an incident

We hope it never happens — but if there is ever a data incident, we follow a clear protocol in accordance with GDPR.

  1. Detect: Monitoring systems alert us to suspicious activity or unusual patterns.
  2. Assess: Within 24 hours we assess the scope, which data is affected and what the impact is.
  3. Report: If a notification is required by law, we report the incident within 72 hours to the Dutch Data Protection Authority.
  4. Inform: Affected users receive an honest, clear email about what happened and what they can do themselves.

We believe in transparency. Even if nothing bad actually happened but we could have done better, we share that — because we all learn from it.

11. Report a security issue

Found a security issue? We'd love to hear it and thank serious reports with a mention on our thank-you list. Report it directly and securely:

Security reports

security@okidoky.nl
  • Give us reasonable time (at least 30 days) to fix the issue before publishing.
  • Don't use tricks to mislead people, attacks that take the site down, physical break-ins, or methods that affect other users' data.
  • Do not attempt to gain more access than needed to demonstrate the issue.
  • Describe step by step how we can reproduce the issue, ideally with a clear example.

We respond within 2 business days to any serious report and keep you updated on progress.

12. Your rights

Under the privacy law you have clear rights as a user. At Okidoky these aren't paper-only rights — they're built into the app itself.

  • View: see all your data in the overview and download it as a file or pdf.
  • Rectification: change or delete transactions and profile data at any time.
  • Deletion: email info@okidoky.nl and within 48 hours we delete your account. Your data is wiped from the backups once those get overwritten on a fixed schedule.
  • Take it with you: download your full ledger in a readable format, ready to load in elsewhere.
  • Objection and restriction: contact us if you want to restrict processing or object.

For full details about what we collect, why and how long we keep it, see our full privacy policy. Questions or complaints? Email us directly — or contact the Dutch Data Protection Authority.

13. Frequently asked questions

Can someone at Okidoky see my transactions?

No, not just like that. Only a small group of technical staff can technically access production databases, and only for maintenance or — with your explicit consent — support. All access is logged.

Is my data stored in the Netherlands or EU?

Our servers and backups live in data centers within the European Union. There is no transfer to third countries (such as the US) without an explicit legal basis.

What happens if Okidoky shuts down?

We always offer an export function so you can download your data at any time. If Okidoky were ever to shut down, we would announce it well in advance and make sure everyone can take their data with them.

Do you use my data to train AI?

No. Your transactions, receipts and personal data are not used to train smart software — not by us, not by third parties, and not by the AI service we use for the Premium scan, the categories on a bank import and the summary in the monthly overview (it doesn't use your data to train anything). On free accounts, the receipt is read entirely on your own device.

Will I get notified if someone logs in from a new device?

Yes, we send email alerts for suspicious login attempts or new devices. Turn on the extra login protection for even more security.

How do I know my password is safely stored?

We never store your password as readable text. We only keep a scrambled, unreadable version that can't be reversed — even we can't see your password, not even if our database ever leaked.
