Starting your first ledger

Starting a ledger sounds bigger than it is. In 45 minutes you have the basics set up — and then it largely builds itself. This guide is honest about what actually works vs what's a waste of time.

Total time: ~45 minutes

First: the first month is always messy

Many people stop after 2 weeks because their ledger 'doesn't look right'. That's normal. The first month is calibration — categories that don't fit, expenses you forgot, time investment that runs differently than expected.

Only month 2-3 gives an honest picture. Don't expect perfection; expect progression.

Preparation

Checklist: what do you need?

Before starting: having these 4 things ready prevents getting stuck halfway.

  • Phone or laptop

Okidoky works on both, but most people use the mobile app for receipts and laptop for overview.

  • Email address

For account registration. No credit card needed for free plan — so no account verification hassle.

  • Overview of fixed expenses

Know roughly what you pay monthly for rent, energy, insurance, subscriptions. Exact isn't needed — you can adjust later.

  • 30-60 minutes uninterrupted

Put phone on silent. Better 1 time well than 3 times half. Set aside a coffee if desired.

The 5 steps

Step by step to a working ledger

Each step builds on the previous. Don't skip any — the order is there for a reason.

1
Step 1

Accept that it won't be perfect right away

5 min

Before you start: the right mindset. A ledger is NOT a project you 'finish' — it's a habit that grows. For now: accept that your first month will be incomplete. Nothing wrong with that.

Concrete actions

  1. 1

Decide for yourself: why do you want a ledger? Getting overview? Saving? Together with partner/roommates? Without goal it quickly becomes boring.

  2. 2

Choose a starting point: today, start of next month, or 1st day of next week. Doesn't matter much — but choose one.

  3. 3

Tell it to someone: partner, roommate, good friend. Not for accountability — but to verbalize and thereby make it real.

Tip

The best day to start was 3 years ago. The next best is today. Don't over-think — just start.

2
Step 2

Choose 8-12 categories

15 min

Categories are how you meaningfully group your expenses. Too few = no overview. Too many = categorizing becomes exhausting. Sweet spot: 8-12.

Example: basic categories

Housing
Groceries
Utilities
Insurance
Transport
Fun things
Savings
Other

Concrete actions

  1. 1

Write on paper (or note app) which types of expenses you have monthly. Be specific: 'Groceries' instead of 'Food'. 'Subscriptions' instead of 'Fixed expenses'.

  2. 2

Check your list against the examples below — are you missing any? Duplicated somewhere? Cut to 8-12 categories that make sense to you.

  3. 3

In Okidoky: you can always adjust these categories later. For now: choose something reasonable, not something perfect. Category-perfectionism is a trap.

Tip

Start with basic categories (see example). If after a month you notice that 'Housing' is too broad (energy, maintenance, common costs run together) — then split. Not beforehand.

3
Step 3

Create your Okidoky account

5 min

Now the technical part. 5 minutes of work, mostly waiting for confirmation emails.

Concrete actions

  1. 1

Go to okidoky.nl and click 'Start free'. Fill in email + password. Choose 'Free plan' unless you want Premium or Lifetime directly.

  2. 2

Confirm your email (check spam folder if nothing arrives in 5 min). Log in with the new account.

  3. 3

First time open: you see a brief tour overlay. Click through — or skip if you want to start directly. All settings are accessible later.

Tip

Choose a strong password AND enable 2FA via Settings → Security. This is your financial data — protect it as well as your bank account.

4
Step 4

Add your fixed expenses

20 min

This is the most important step. A large part of your monthly expenses is fixed (rent/mortgage, insurance, subscriptions). Once entered you never have to enter them again — Okidoky remembers them.

Concrete actions

  1. 1

Gather: rent/mortgage, energy bill, internet, insurance, subscriptions, phone. Typically 5-10 fixed items.

  2. 2

In Okidoky: go to Transactions → New transaction → mark as 'Recurring' (monthly). Enter amount, category, date of monthly debit.

  3. 3

For each fixed expense: do this once. Okidoky automatically generates a transaction every month on that date — you immediately see what 'automatically goes out' before you start on variable expenses.

Tip

Don't forget 'silent' fixed expenses: bank costs (€3.50/mo), KPN phone (€20), Spotify (€10), gym (€25). Look at your bank statement of last month as reference.

5
Step 5

Set up a daily routine

1 min/dag

Fixed expenses are in — good. Now variable expenses. Here's the real win: daily 1 minute entering something, not at end of month 2 hours thinking.

Concrete actions

  1. 1

Determine your trigger moment: after refueling? After coffee? Evening before sleep? Couple entering to something you already do.

  2. 2

For receipts: scan them directly at the register with the Okidoky mobile app. Amount + date + merchant filled automatically. Select category, 5 sec work.

  3. 3

For online expenses (bol.com, Thuisbezorgd, etc.): open the app, quick add: amount + category. 10 sec work. Do this immediately, otherwise you forget.

Tip

Week 1 is the hardest. Your brain has to learn the 'ledger moment'. After day 14 it becomes largely automatic. Only then measure if the behavior sticks.

Your first week: building routine

Seven days to form the habit. Not being perfect — just ingraining the rhythm.

Morning

Open Okidoky on phone, look at the dashboard. 5 seconds. No entering — just see what your balance is.

After every expense

Enter within 5 minutes or scan receipt. Don't save up 'for later' — later doesn't come.

Evening

30 seconds: check if you forgot anything. What expenses did I have today? Are they in?

Keep it up till day 7. After a week your base pattern is formed. Only then evaluate or adjust.

End of month 1: evaluation

After 30 days you have first real monthly data. Now comes the interesting part: interpreting. Here are 4 questions to ask yourself.

Ask yourself

  • 1

Do my categories match my actual expenses?

Maybe you have categories never used, or are missing an important one. Adjust now — not during the month.

  • 2

Where did I unconsciously spend money?

The first month often reveals 'invisible expenses' — €80 on Thuisbezorgd, €50 on snacks, subscription you didn't remember. Don't judge — observe.

  • 3

Which moment did I often forget entering?

Adjust the routine moment. If evening doesn't work, try immediately-after-expense. If that doesn't work, try Sunday evening 10 min.

  • 4

Do I feel different about my money?

The goal isn't just data. It's peace. Feel more in control? Less stressed about bank statements? That's the real win.

4 common mistakes in month 1

Avoid these patterns — we've seen them often and they do you more harm than good.

  • Trying to fill in everything 'afterwards'

Entering everything after a week takes 30+ minutes and you forget details. Entering immediately is 10 sec per time. Don't make the 'I'll do it Sunday' mistake.

  • Obsessing over category names

'Groceries' or 'Food'? 'Going out' or 'Fun things'? Doesn't matter. Choose something, move on. In a month you'll know better if you want to adjust.

  • Judging yourself on the data

You see you spent €400 on restaurants. Non-judgment zone — this is INFO. Judgment behavior often leads to stopping tracking.

  • Wanting everything perfect before continuing

Optimizing Okidoky settings, restructuring categories, finding exact amount... Don't. 80% good is better than 100% planned-but-never-started.

How do you know your ledger 'succeeded'?

No formal milestone moment. But these three signals say it works.

  • You enter things without thinking about it

Habit stage: you scan a receipt and it feels as normal as throwing the receipt away itself. Typically after 30-45 days.

  • You sometimes look at your balance BEFORE a purchase

The ultimate goal: not registering afterwards, but deciding beforehand. 'Do I have room for this new jacket?' → look in Okidoky. Typically after 2-3 months.

  • You read your monthly overview WITHOUT stress

It's no longer 'financial homework'. It's a neutral overview like a weather map. Then it really works.

FAQ

Frequently asked starter questions

Do I have to connect my bank account?

No, not required. Without connection: manual entry (scan receipt, enter expenses). With connection: transactions come in automatically. Recommendation: start without connection the first month. That forces you to consciously register every expense — better for habits. Only connect month 2-3.

What if I don't enter anything for a few days?

No problem, but don't make it a rule. Two options: 1. Catch up via bank statements. Takes some time but is doable. 2. Accept the gap and continue from today. Perfect data isn't the goal — pattern insight is. Repeating? Then adjust your routine. Maybe evening doesn't fit — try immediately-after-expense.

Do I have to register every euro or is a margin okay?

Every euro is overkill unless you really want to save precisely. For most people: round amounts to €0.50 is fine. The €0.03 noise difference doesn't count. What IS important: register every transaction >€5. Otherwise 'black holes' arise that you can't explain.

When should I consider Premium?

Free plan is complete for solo use with 1 bank account (or manual entry). You have all core features: categories, reports, receipts, export. Premium (€1.50/mo) needed if: • You want to share with partner/roommate • Multiple bank accounts to connect • Advanced reporting (category trend over time) Start free, upgrade when you need one of these. No rush.

How long until I see 'benefit'?

Two answers, depending on what you mean by benefit: **Emotional benefit** (less stress, more grip): often after 2-3 weeks of daily registration. 'Seeing your data' works almost immediately. **Financial benefit** (concrete saving): often after 2-3 months. First insight in patterns, then making choices. See /bespaartips for concrete actions based on what you discover. Patience: this is a long-term habit, not a quick win.
