Getting started

Everything to get going quickly

How do I start with Okidoky?

Create a free account in 30 seconds via the registration page. You automatically get 14 days of Premium so you can try all features. After that period the free version keeps working — no credit card, no surprises.

Is Okidoky really free?

Yes, the Basic version is free and stays free. You can add unlimited transactions, scan receipts and view your expenses. Premium (from €1.50 per month) adds extras like sharing with your partner, extended insights and advanced categories.

Does Okidoky work on my phone?

Okidoky is available for iPhone and iPad in the App Store, for Android as a beta APK and for Windows as a download. You can also use the web app on your computer, tablet or phone, including Mac.

Can I import data from Excel or another app?

You can add transactions manually or via our Bank import feature (ING and KNAB are auto-detected; other NL banks work via generic CSV import with manual column mapping). For full Excel migration it is usually easiest to review your old data and re-enter only the current month. Email us for help with larger imports.

How long before I have a useful overview?

Within a week you will have a usable picture of your fixed costs. Add your monthly income and recurring expenses (rent, insurance, subscriptions) and Okidoky automatically calculates what's left. Receipts you can then add whenever it suits you.

Receipts & Transactions

Scanning, editing and categorising

How does receipt scanning work?

Tap the camera button on the receipts page, take a photo or pick an existing image. Okidoky automatically recognises the date, total amount and store. You check the result, adjust if needed, and the transaction lands in your ledger. On free accounts, text recognition happens entirely locally in your browser (Tesseract.js); your photo doesn't leave your device. Premium users get a more accurate AI scan, where the photo is sent once to OpenAI and not stored afterwards.

Which receipts can I scan?

All readable Dutch supermarket and shop receipts. Also fuel receipts, restaurant checks and online orders (PDF). Poor lighting or creases make recognition harder — a straight photo in daylight always works best.

Can I edit a transaction later?

Yes, every transaction is editable. Tap it to change the amount, category, date or description. You also see who created the transaction and who may have edited it (handy in shared ledgers).

How do recurring costs work?

When adding an expense or income you pick a recurrence interval (weekly, monthly, yearly). Okidoky then automatically creates a new transaction each month. You can override the amount per period (for example for an indexation) without affecting other months.

What happens when I delete a receipt?

The transaction and its image are removed immediately — not just hidden. Deletion is permanent, so we always ask for confirmation. Shared ledgers: only the owner or an editor with rights can delete.

Sharing & Together

Share the ledger with your partner or family

How do I share my ledger with my partner?

Go to Profile → Sharing and enter your partner's email address. They receive an invitation mail, create their own account (or log in) and have access from that moment. You choose per person whether they can only view or also edit.

How many people can I share with?

With Premium you can invite 1 extra person (ideal for couples). Lifetime also allows 1 invite; Family Lifetime allows 2 extra people — perfect for families or shared households (3 people total max).

Can I see who added which transaction?

Yes. Every transaction has a small label "by [name]" or "edited by [name]". For receipts you also see who uploaded them. This keeps it clear who did what, even afterwards.

What if we split up?

The ledger owner can revoke a shared user's access at any time via Profile → Sharing. The data stays with the owner; the invited user loses access to that ledger but keeps their own Okidoky account.

Can each user set up their own 2FA?

Yes, everyone manages their own security. Your 2FA, password and sessions are separate from your partner's — even in a shared ledger. Each user logs in with their own credentials.

Security & Privacy

How we protect your data

Where exactly is my data stored?

On encrypted servers within the European Union. Backups too. There is no transfer to third countries (such as the US) without an explicit legal basis. For full details see our security page.

Do you use my data to train AI?

No. Your transactions, receipts and personal data are not used to train AI models — not by us, not by third parties, and not by OpenAI for the AI features (receipt scan, categories on a bank import, summary in the monthly overview; their API doesn't train on input). On free accounts, receipt OCR runs entirely locally in your browser.

How are my passwords stored?

Hashed with bcrypt. We never see your password and cannot recover it — if you forget it, send yourself a reset link via "Forgot password".

How do I enable 2FA?

Go to Profile and scroll to the Two-factor authentication (2FA) section and choose authenticator app, email code or both. For an extra layer of protection we recommend printing backup codes and storing them securely.

Can I delete my account?

Yes. In the web app, go to Profile → Data & Privacy → Delete account and confirm with your password. You may want to make a CSV export for your own archive first. Backups are wiped at the latest with the next monthly rotation. Doesn't that work for you? Email info@okidoky.nl from your registered email address with "deletion request" in the subject; your account is then deleted within 48 hours.

Which external services see my data?

The full list is public at /sub-verwerkers. In short: IONOS (hosting in Germany: the server with the app, the database and our own mail server), Mollie (only during a payment), OpenAI (for the AI receipt scan and automatic categories on a bank import with Premium, and for the short summary in the monthly overview for newsletter subscribers), Google Analytics (analytics cookies only after your consent) and Google AdSense (not for Premium and Lifetime accounts; advertising cookies only after your consent). In addition, Google Fonts and jsDelivr serve fonts and icons; they set no cookies but do see your IP address.

How do I know if my Okidoky password has been leaked?

Check it yourself at haveibeenpwned.com — you can verify your email + password for free against known data breaches. If your password appears there, change it immediately: we support the W3C standard /.well-known/change-password, so modern password managers (Chrome, Safari, 1Password, Bitwarden) can send you to the right place with one click. Or manually: go to Profile → Change password. Important: a leaked password does NOT mean Okidoky has been hacked — almost always it happens because the same password was used elsewhere and leaked from there. For maximum protection: enable 2FA (then a leaked password alone isn't enough to log in), and use a password manager so you have a unique password per service.

Subscription & Payment

Pricing, invoices and cancellation

What's in the free plan?

Up to 50 transactions per month, 2 receipt uploads per month, 1 custom category, the dashboard overview and the main insights. Automatic receipt OCR and export are in Premium. Free users cannot share a ledger and see occasional ads. All your data remains yours, even on the free plan.

What does Premium cost and what do I get?

€1.50 per month (or €15 per year = 2 months free). Premium adds: sharing with 1 partner, ad-free, extended categories, custom periods, yearly overviews, bank import, OCR history and the Tax advice module.

What is Lifetime and how does it differ?

Lifetime (€25 one-time) gives you Premium features forever — no subscription, no renewal. Family Lifetime (€49.95) adds 2 extra family accounts. Both are one-time costs, ideal if you simply want to keep using Okidoky.

How do I cancel a subscription?

Go to Profile → Subscription → Cancel. Your account will revert to the free plan at the end of the current period — your data stays intact. You can cancel any time, at no cost.

Do I get an invoice?

Yes, for every payment you automatically receive an invoice by email (also available in Profile → Invoices). VAT is shown separately, so self-employed users can simply deduct the cost.

What happens if my payment fails or my card expires?

No panic — your data never disappears. Mollie automatically retries after 3 days; if that also fails, you get an email with a payment link. You then have 14 days to settle. Nothing happens in those 14 days? Your account falls back to the free plan — exactly like when you cancel (Premium features off, data retained). You're never 'locked out' because of a payment issue. No fine, no collection. Renewal is possible anytime: go to Profile → Subscription and update your payment method.

Technical & Devices

Apps, sync, offline use

Which devices does Okidoky work on?

Okidoky is available for iPhone and iPad in the App Store, for Android as a beta APK and for Windows as a download. You can also use the web app on your computer, tablet or phone, including Mac.

Does Okidoky work offline?

Not yet. Okidoky works with your online account: in the web app, the PWA and the Windows app you need an internet connection to view and update your ledger. There is no offline mode yet.

Why do I see differences between two devices?

Usually sync is off or there hasn't been a connection yet. Pull the page down (pull to refresh) or press F5. If the problem persists, check the sync indicator top right — it shows when the last successful sync happened.

How do I get automatic updates?

The web app updates when you open the latest version. Update the iPhone and iPad app through the App Store. The Windows app checks for updates; the latest Android version is on the download page.

I found a bug — what now?

Send us a short message via the contact form or email info@okidoky.nl with a screenshot and a description (which device, which browser, what happens). Critical bugs we usually fix within 48 hours. For security issues use security@okidoky.nl for an encrypted report.

How do I export my data from Okidoky?

Always and without conditions. Go to Profile → Data export and pick a period (everything / this year / this quarter / custom). You get a CSV file with all your transactions (date, amount, category, description, type, addedBy-name) that opens in Excel, Google Sheets, LibreOffice or any other finance tool. Receipt images you download separately from the receipts list. This is not a Premium feature — GDPR Article 20 (data portability) applies to all users, including free. If you ever switch to another tool or back to Excel, your data is portable without lock-in.
